Cost management by working capital, reserve capital and fixed provision, recurring funds and internal transfers

Costs are now grouped into working capital, reserve capital and fixed provision instead of a flat list, set up a recurring fund once instead of creating it every period, and mark a payment as a transfer between your own bank accounts.

Cost management, organized by working capital, reserve capital and fixed provision

Costs used to sit in one flat list, with no way to see them grouped by what they're actually for. Costs are now organized into working capital, reserve capital, and fixed provision, each shown together instead of mixed in with everything else.

Recurring funds

A regular contribution, a monthly provision, for example, meant setting it up again every period. A recurring fund can now be created once and repeats automatically, with each owner keeping the same payment reference across every period instead of getting a new one each time.

Reminders for unpaid costs and funds

Sending a reminder for an unpaid cost or fund was limited to 100 recipients at a time, and an owner with several lots in the same building got a separate email for each one. Both limits are gone: send a reminder to as many owners as needed, and an owner with multiple lots now gets one combined email showing the breakdown for each.

Expense note (Building Manager)

When a council member pays for something out of pocket on behalf of the building, there was no proper way to register it, just entering it as a regular invoice. A purchase invoice can now be registered as an expense note instead, for exactly this situation.

Internal transfers

Moving money between your own bank accounts, from a reserve capital account to the main one, for example, had no clean way to be recorded, and risked being booked as a regular cost or payment by mistake. A payment can now be marked as an internal transfer instead.

Workspace letter stationery

Every letter used the same plain default look, with no way to add your own branding. Configure a logo, header and footer once in workspace settings, and it applies to every letter sent from SNDQ.

Improvements

Common

  • Costs: the financial dashboard now includes a section for provisions, and the Fund tab now also shows payment requests that haven't been grouped into a fund yet, so nothing gets left out of the total. A small difference of a euro or less when matching a payment can now be automatically written off instead of staying unresolved.
  • Letters: mark one as sent manually, with a note, once it's been posted outside SNDQ. A template can now be saved directly from the editor, instead of copying it over separately. The editor also supports an HTML mode, for layouts a standard editor can't handle, like a multi-column header with a logo and contact details.
  • Contacts: a building or property can now show how many notes are on it, the same way contacts already do. A company contact can now have several emails and phone numbers, with a custom label for each, previously only available for individual contacts. A subcontact is now searchable by name, email or phone.
  • Broadcasts: change a recipient directly from the list using a menu, instead of removing and re-adding them.
  • Building creation: the enterprise number and establishment date are no longer required when creating one.

Property Manager

  • Rental contracts: an indexation letter can now be configured per client, instead of using the same one for everyone. The correction factor used in an indexation calculation is now based on the property's region, Flanders, Wallonia or Brussels, since Belgian law treats them differently.

Building Manager

  • Property ownership: the reserve capital balance now transfers correctly to the new owner when ownership changes, instead of staying with the previous one.
